How Grantsium works for EU projects, your data, and getting your consortium started.

Getting started

What is Grantsium?

Project management for EU-funded projects such as Horizon Europe and Erasmus+: plan work packages, tasks, deliverables and milestones on one timeline, share it with every partner, log time and keep project notes in a wiki.

Is Grantsium part of the European Commission?

No. Grantsium is an independent product and is not affiliated with the European Commission or its agencies. Your grant agreement and the Commission's portals remain the official sources.

How do I create my first project?

Click “+ Project” in the top bar, give it a name and you're its admin. New users can also start from a ready-made sample project at the end of the welcome tour.

How do I invite my team?

Open the project → Members → enter their email and choose a role. People who already have an account are added straight away; everyone else gets an email invitation that stays valid for 14 days. They join after signing up with that same email address.

Which emails will Grantsium send me?

Account emails (confirmation, password reset, invitations) plus notifications when you're assigned work, when someone comments on work you're involved in, and a daily summary of work that is overdue or due soon. Switch any notification off under Settings → Email notifications.

Can I see the tour again?

Yes. Open Help (the ? icon) and choose “Replay the tour”.

Your work plan

What can go into the work plan?

The building blocks of an EU project: work packages (WP1, WP2, …), tasks (T1.1, …), activities, meetings, deliverables and milestones. Each item has a status, owner, dates, estimate and progress.

How do I break work down?

Open a work package and click “Add task”; open a task and click “Add activity”. Or set “Part of” on any item. The work plan shows the hierarchy with indentation.

How do dependencies work?

Add a relation (blocks, precedes, relates, duplicates). Precedes/blocks relations are drawn as arrows on the Gantt chart.

How do I link to an item?

Type #123 in any description, comment or wiki page and it becomes a link. You can also search #123 to jump to it.

EU project features

How do project months (M1, M2, …) work?

Settings → EU project setup: enter the start date and duration. Every date then shows its project month, and date fields get an “M…” picker so you can plan by month, as in your grant agreement.

How do I add a deliverable?

Create an item of type Deliverable under the work package (or task) that produces it. Set its due date, lead partner, type (R, DEM, DATA…) and dissemination level. All deliverables and milestones are listed under Deliverables.

Which items count as EU work packages (WP1, WP2, …)?

Items of type Work package at the top level of your plan. Everything under them rolls up to them, for effort and in the deliverables register. A subject that starts with “WP3” keeps that number.

How are person-months calculated?

Partners & effort: add the partners, link each member to their partner and enter budgets per work package. Logged hours ÷ hours per person-month (143.33 by default, changeable in Settings) gives the person-months used.

How do I print a timesheet?

Timesheets → pick the person and month → Print / save as PDF. It lists hours per work package per day, with lines for signatures. Check your grant agreement for the time-recording rules that apply to you.

Planning views

How do I reschedule on the Gantt chart?

Drag a bar to move it, or drag its left/right edge to change the start or finish date. Changes are saved immediately.

How do I use the board?

Drag cards between columns to change their status. Switch the board to group by assignee or phase instead.

What are phases?

Optional stages that cut across work packages, e.g. “Co-design” or “Pilots”. Put items into a phase and follow its progress on the Phases page.

Account & security

How long do I stay signed in?

Up to 14 days on a device. After that, log in again.

How do I turn on two-factor authentication?

Account → Two-factor authentication → set up an authenticator app. You'll be asked for a code each time you log in.

Who can see my projects?

Only the members of each project. Viewers can read; members can edit; admins manage settings and members.

Can I export or delete my data?

Yes. Account → Your data: export everything as JSON, or delete your account.

Do you use tracking or advertising cookies?

No. We only use the cookies needed to keep you signed in.

How to run your EU project in Grantsium (1 min 20)
Read the transcript

Welcome to Grantsium. Here is how to run your EU project in it, in under two minutes.

My page is your start every morning: the work assigned to you, reviews waiting for you, and what is due this week, across all your projects.

In a project, the work plan mirrors your grant agreement. Work packages hold tasks, deliverables and milestones, each with a lead partner and project months.

Add an item in seconds. Choose its type, give it a clear title, and place it under the right work package.

The Gantt chart shows the whole plan, month one to the end. Drag a bar to reschedule it.

When a deliverable is ready, request a review. Pick the reviewers and a deadline, and they get an email. Once everyone approves, mark it submitted, then accepted.

Log your time against tasks. Hours roll up into person-months per partner and work package, compared with the budget.

At the end of the month, each person's timesheet is ready to print and sign.

Not everything is for everyone. Make an item visible to the whole project, only your organisation, or specific people.

Invite people from every partner organisation, and choose whether they can edit or only view.

Help is always one click away, with answers and a short tour.

That's it. Your whole EU project, in one place.

Running an EU-funded project means one grant agreement, a dozen partners, thirty-six months, and a plan scattered across spreadsheets, inboxes and somebody's memory.

Grantsium brings it together. One shared plan for the whole consortium, built the way EU projects actually work.

Your work packages, tasks and deliverables mirror the grant agreement, with lead partners, project months and progress, all in one place.

See the entire project on one timeline, from month one to the final month, and reschedule with a simple drag.

Every deliverable has its owner, due month and dissemination level. Partners review it, and you record when it is submitted and accepted.

As people log their time, person-months add up per partner and work package, against budget. Monthly timesheets are ready to sign.

Share what the consortium needs, and keep internal work to your own organisation, or to just the right people.
